Under 18s must be accompanied by an adult.
Check in is between 4-6pm – please try not to arrive too early, as we won’t be ready for you and you may be turned away until we are. We try to remain as flexible as possible, If you encounter traffic or a problem on the way – please let us know.
Glampers are responsible for their own health and safety and children must be supervised at all times while on site.
Glampers are politely reminded that Rosebud Meadow is a working farm with animals. Whilst we do accept children on our site, it is by no means a ‘petting zoo’. Glampers are reminded that animals are not robots or machines and are in fact animals with a mind of their own. They have teeth and legs and can bite and kick. We ask that you look but do not touch or feed!
Under no circumstances are Glampers to enter a field or anywhere where there are animals. Glampers are respectfully asked to keep to the campsites allocated areas.
Dogs must be kept on a lead at all times. All dog mess must be cleaned up straight away and put in the bins supplied. Any dog found to be worrying livestock or not under control will be asked to leave the site with immediate effect. Anyone found not have notified Rosebud Meadow that they have a dog with them will be charged double the rate per dog.
Please be aware that loud, drunken, disorderly or offensive behaviour is not allowable and we may ask you or your entire group to leave if we feel this is the case, even if you are part of a group booking.
We will offer no refund if your stay with us is terminated early, whether we have asked you to leave or if you have left of your own accord.
Personal belongings are your responsibility and we will not be liable for any personal belongings lost/damaged during your stay.
Any damages must be reported, and we reserve the right to ask the person or group leader responsible for a payment to cover the cost of any damage.
Smoking is not permitted in any enclosed area and all cigarettes must be disposed of responsibly.
We reserve the right to terminate your permission to stay on site in the event that you or those in your party are in breach of any of our terms and conditions. In the event that permission to stay is terminated as a result of such breach we will offer no refund.
If you are using a voucher to book your stay – please contact us by email. Any Glamper that books through the website instead of contacting us with their voucher information will incur a £25.00 admin charge to correct.
If you bring your horse on holiday you are responsible for your animals at all time and must make sure it is secure and safe at all times.
Cancellation policy
No refunds within 6 weeks of arrival date.
It is entirely management discretion if you wish to move your booking to another date – no alteration 6 weeks prior to original booking date.

MAKING YOUR BOOKING & CONTRACT
In order to make your booking, the booking form must be completed by the party leader (‘the Client’) who must be over the age of eighteen. This can be done by:
- Using the booking system on the website; or
- By email communication with us.
On completion of this the Client confirms that all members of the party agree to abide by the Terms and Conditions set out in this document. A Contract will exist between the client and Rosebud Meadow as soon as the confirmation invoice has been issued or payment has been taken through the website. This Contract is governed by English law and in the unlikely event of a dispute both parties agree to submit to the exclusive jurisdiction of the English courts at all times.
On completion of the booking forms the Client declares that the information provided is accurate.

PAYMENT
In order to secure your booking, 100% of the total holiday price must be paid immediately if using the website or within 30 days of the date of invoice.
If full payment is not received on the due date we reserve the right to treat the booking as cancelled and, therefore, apply cancellation charges as set out in clause 7 below. Should you make your booking within four weeks of your holiday then the full cost of the holiday will be due immediately.

CANCELLATION BY ROSEBUD MEADOW
In the unlikely event that we have to cancel your holiday for reasons other than
- a) Fault of the client
- b) Force majeure
we will endeavour to offer you an alternative holiday of at least comparable standard if available.

FORCE MAJEURE
Rosebud Meadow regret we cannot offer refunds or compensation in the event of cancellation or alterations as a result of force majeure. Force majeure is defined as war, threat of war, riot, civil strife, industrial dispute, strike, lock-out, government action, terrorist activity, natural or nuclear disaster, fire, flood and adverse weather conditions.

CANCELLATION BY YOU
Bookings may be cancelled at any time prior to the date of the holiday by written notification by the Client. The cancellation date will be taken as the date that written confirmation is received by Rosebud Meadow. For this reason, Rosebud Meadow recommend recorded delivery. Cancellation charges are expressed as a percentage of the total holiday price and are payable to Rosebud Meadow. Cancellation charges are as follows:
- a) 6 weeks or less before holiday 100% cancellation charge
- b) From booking up to 6 weeks beforehand 50% cancellation charge

ALTERATIONS & CHANGES BY YOU
Should you wish to make changes to your holiday after confirmation, Rosebud Meadow will use our best endeavours to make the requested alterations, although we provide no guarantee that this will be possible.
An administration charge of £25 per person may be implemented at the discretion of Rosebud Meadow on each occasion when an alteration is made at your request.
Further, all additional costs incurred by Rosebud Meadow will be payable by the client. Specifically if extra services are contracted by you during your holiday you will be charged for these services.
We do not accept alterations to a date within 6 weeks of the original booking.

LIABILITY
In completing the booking form, the Client and all members of the party accept that for the horse holidays that horse riding is classed as a high risk sport and being in the vicinity of horses and animals poses risks. Whilst being in the vicinity of those horses/ animals which are on the property of Rosebud Meadow all Glampers must comply at all times with the instructions from anyone from Rosebud Meadow. It is a condition of your booking that you accept that anyone from Rosebud Meadow is entitled to insist that you dismount or to refuse you the right to ride for any reason including your inability, health or behaviour, if they consider you are endangering or may endanger the safely or welfare of any persons or horses including yourself. In the event of such circumstances, you will not be entitled to any refund or compensation.
Rosebud Meadow require that the Client and all members of the party wear suitable safety equipment including hard hats whilst in the vicinity of horses. We require that hats comply with relevant safety standards, are purchased from reputable suppliers and are fitted by qualified persons.
We accept responsibility for ensuring that all parts of our contract with you are properly performed except where failure or improper performance is due to:
- a) your own acts or omissions.
- b) the acts or omissions of a third party not connected with the provision of your arrangements and which are unforeseeable or unavoidable.
- c) Any event which either we could not have foreseen or forestalled even with all due care.
- d) Force majeure
Rosebud Meadow’s liability is limited as follows:
Liability other than for death and personal injury is limited to such amount as is reasonable taking into account the cost of the holiday booked with us and the extent to which your enjoyment of the holiday has been affected but (without prejudice to that) will not in any event exceed twice the cost of the holiday booked for the person affected (excluding any alteration charges).
Rosebud Meadow will not have any liability to you for any damage, loss, expense or other sums of any description which
- a) on the basis of the information given to us by you concerning your booking, prior to our accepting it, we could not have foreseen you would suffer or incur if we breached our contract with you.
- b) did not result from any breach of contract or other fault by us or our employees or, where we are responsible for them, our suppliers.
Additionally, Rosebud Meadow will not have any liability to you for any business losses.

BEHAVIOUR
On booking, the Client accepts responsibility for loss and / or damage caused by the Client or any member of the party. Full payment for any such loss or damage must be paid directly to Rosebud Meadow immediately. If you fail to do so you must indemnify us against any claims including legal costs subsequently made as a result of your acts or omissions.
We expect all clients to behave with consideration to other people. If, in our opinion, or in the opinion of any other person in authority, the Client or any member of the party behaves in such a way to cause or be likely to cause distress, danger, or annoyance to any third party or damage to property, we reserve the right to terminate the holiday arrangements of that person without notice. In this situation, our responsibility towards that person will immediately cease and we will not be responsible for meeting any costs or expenses that that person may incur as a result. We will not make any refunds or pay any compensation.

COMPLAINTS
If you have a complaint or are unhappy about any aspect of your holiday, you must immediately inform a member of staff of Rosebud Meadow so that they can endeavour to put it right.
If you are still not satisfied, you are required to notify us in writing to our office address; Rosebud Meadow, Off Marlbank Road, Welland, Worcestershire WR13 6NB within 14 days of your holiday giving full details of the complaint. We will acknowledge receipt of your letter within 14 days and then begin any investigation we feel is necessary. After a further period of up to 21 days we will contact you with the outcome of our investigation. If you do not comply with this requirement, we will not accept any responsibility for the matter giving rise to your grievance, having been unable to put it right immediately or to investigate it at the relevant time. It should also be noted that the complaint must be made by the customer who booked and not by a third party.

DATA PROTECTION POLICY
So that we may process your booking and ensure your holiday runs smoothly, we need to use the information you provide such as name, address, and any specific requirements.
We take full responsibility for ensuring proper security measures are in place to protect your booking.
We will not pass your details onto third parties not connected with your holiday. Unless informed otherwise by you, we may use your information to provide you with future offers and information.
